Using barcodes to track your assets | - Barcodes are the simplest, quickest and most accurate way to track physical assets.
- Barcodes make it possible for anyone in the organisation (even temps and contractors) to accurately identify assets. No need to have experts spend their valuable time ticking assets off sheets of paper.
- Using a low cost handheld scanner you can scan a room of assets in minutes, download it to a computer and complete a check of assets in a fraction of the time it takes with paper. No more re-keying from clipboards.
- Barcode readers are hundreds of thousands of times more accurate than people at recording numbers and text.
- Using handheld computers you can record asset information at the asset, rather than in the office - keeping data as accurate as possible.
- Keeping your asset data on the network means you can share it and protect it.
- The loss of just a few valuable assets can pay for an asset management system, leading to a payback for your investment in months not years.
- You can provide your accountants with an accurate list of assets at the touch of a button (well, a few touches)
|
Steps you need to take in order to track your assets. | - Decide your budget for the project - what's the likely value of lost assets? How much time do you need to spend in order to manage your assets - barcode systems will make a huge improvement to the time it takes to manage assets using paper.
- Decide who will be responsible for your asset management. They will be responsible for the job of adding and removing asset records. They will also manage the process of labelling everything that needs to be tracked and ensuring there is a regular check of assets. With no one responsible for it, it won't happen!
- Decide what you want to track. Not everything is depreciable, so you might not need to track those items. Other items such as digital cameras are usually worth less than the 'capitalisation' level for most organisations, but they are easy to lose so tracking them is important.
- Decide if you want to track assets being lent to staff or customers.
- Decide what information (reports) you want out of the system i.e. where the assets are, what the assets are, who has them, when they were moved or changed, when they were last checked, if they've been taken off the asset register (and why) and many other answers.
- Order your pre-printed barcode labels (complete with your logo) from us. These labels are designed to be waterproof, wipe-proof and scratch-resistant. We supply them in boxes of 1000 in a range of sizes to suit you.
- Create your asset database. We are able to handle the importation of data if you want us to. (You can only create asset records on the handheld using the MobileAsset solution).
- Label up your locations (put a barcode label on the door to the room) so you can match the asset to a location.
- Stick a barcode to your assets and record the number in the database, along with the asset description.
- Keep a regular record of assets being added to your register and more importantly, assets going out.
- Undertake regular (at least annual) checks of assets. More frequent for valuables or assets that 'walk'.
- Read the reports and manage your assets.
